Through strong interpersonal & project management skills, teamwork, and collaboration the Project Coordinator is responsible for day-to-day organization, scheduling, and management of client and print and digital/web-based work throughout the agency. Leveraging agency software platforms, the Project Coordinator opens jobs that enter the agency and assigns a step-by-step schedule from start to completion. Working closely with teams across the agency, as well as with outside creative partners, the Project Coordinator monitors the movement of all jobs through agency departments, updating schedules and team members as required. This position also works closely with the agency’s client service team, providing coordination and administrative support to ensure that projects are moving through the agency on time, on strategy, and on budget.

  • Build and maintain project schedules in Workamajig, our agency management software
  • Oversee current projects and work with team members to ensure workflow is on track
  • Participate in daily project standup meetings to ensure all daily deliverables are on schedule
  • Monitor creative team schedules and workflow each morning to make sure projects are running smoothly and gather assets or information if anything is needed
  • Manage capacity by continually evaluating creative team schedules and ensure that the team is not overbooked
  • Assist in managing freelancer management, providing schedule information to agency associates/contractors and ensure they have what they need for their projects
  • Maintain the “Hot Sheet” and Project Status Spreadsheet
  • Participate in project kickoff meetings and provide schedule or budget info as needed
  • Anticipate/evaluate potential problems and develop immediate solutions
  • Manage project-related paperwork – open jobs in Workamajig, add budget information, open Basecamp jobs and folders
  • Support the agency’s client service team by providing administrative assistance to account managers, including responding to client phone calls and emails, handling mail/packages, and assisting with production and creative deadlines and media placements to ensure workflow continuity
  • Maintain awareness of client activities to provide backup when account managers are unavailable
  • Gather and assemble background information and analyses as needed by the client service team and assist in the development of strategic and creative briefs
  • Provide input in planning as requested by account managers or other key agency team members. Assist in developing agendas, work orders, conference/meeting reports, proposals, and correspondence, including preparation for client presentations
  • Maintain client digital files for all assigned accounts, detailing past work and work-in-progress, and all pertinent information needed for accurate proofreading and quality control
  • Assist with meeting minutes, prepare and distribute contact reports (call reports) and briefs
  • Proofread copy, artwork, agency and proofs as requested; see that all work completes the standard agency approval process
  • Coordinate travel logistics for agency team members and assist in preparing for on-site client visits


Must have a minimum of a bachelor’s degree. Some degree of agency experience is a plus; An interest in higher education marketing is a must; The Project Coordinator must demonstrate problem-solving skills, have exceptional verbal and written communication skills, proven ability to meet deadlines, and be able to juggle multiple projects and work independently in a fast-paced office. The Project Coordinator should be comfortable using MS Office software and be willing to learn and become proficient with project management and workflow software.

  • Salary commensurate with experience and ability
